Getting Your Email Marketing Right
An email marketing consultant plans, builds and improves the emails a business sends. That covers strategy and audits, segmenting your list so each group gets the right message, automations that fire when someone takes an action, and deliverability, so your emails land in the inbox and follow UK rules.
Strategy and Audits
If you already send emails, I start with what you have: how people joined your list, what you send and how often, how it performs and whether anything is hurting your delivery. If you're starting from scratch, we agree who you're emailing, what they want from you and what you'd like them to do next, before anything gets built.
Segmentation
Segmentation means splitting your list into groups so each one gets emails that fit. That could be customers and enquiries, or people who open everything and people who haven't opened anything in months. A well-targeted send is less likely to annoy people into unsubscribing or hitting the spam button, and that protects every email you send after it.
Automations
All the platforms I work with can run automated sequences that send when someone joins a list, fills in a form or stops engaging. Common ones include:
- A welcome series for new subscribers, sent while they still remember signing up
- Nurture flows that follow up an enquiry or download over a few weeks
- Re-engagement emails for people who've stopped opening, followed by suppressing the ones who still don't respond
- Abandoned cart-style reminders, if you sell online and your platform supports them
Deliverability: Making Sure Your Emails Arrive
Mailbox providers such as Gmail decide whether your email reaches the inbox, goes to spam or gets rejected. They look closely at whether your domain is authenticated and how many people report you as spam.
Google's email sender guidelines ask every sender to set up SPF or DKIM authentication and keep reported spam rates below 0.3%, and Google recommends staying below 0.1%. If you send close to 5,000 or more messages a day to personal Gmail accounts, you're treated as a bulk sender and need SPF, DKIM and DMARC, plus one-click unsubscribe on marketing emails. Google's sender guidelines FAQ says bulk sender status is permanent once assigned, and that Gmail started ramping up enforcement in November 2025, with temporary and permanent rejections for mail that doesn't comply.
A deliverability check looks at:
- Your SPF, DKIM and DMARC records, which show mailbox providers that an email really came from your domain, and whether they line up with the address you send from
- Spam complaint rates, using Google Postmaster Tools where it's set up
- Bounces and how you clean your list
- Where your contacts came from, because bought lists cause problems for delivery and for the law
UK Email Marketing Rules: PECR and UK GDPR
Deliverability decides whether your email arrives. The Privacy and Electronic Communications Regulations (PECR) decide whether you're allowed to send it at all.
Under the ICO's guidance on electronic mail marketing, you can only send marketing emails to individuals if they've specifically consented or the soft opt-in applies. The soft opt-in covers existing customers whose details you collected yourself during a sale or negotiations for a sale, when you're marketing your own similar products or services. They must have had a clear chance to opt out when you collected their details, and in every email since. It doesn't cover prospects or new contacts from bought-in lists.
The ICO's page on how to comply with the PECR email marketing rules also says:
- Consent has to be freely given, specific, informed and unambiguous. Pre-ticked boxes, silence and inactivity don't count.
- Every marketing email has to make clear who it's from and give people a simple way to opt out.
- When someone unsubscribes, add them to a suppression list and check it before every send.
